Questions agencies ask about pricing

What counts as a user, what happens when the trial ends, and what you keep if you downgrade.

What happens when the 14-day trial ends?
You move to the Free plan. Nothing is deleted and nothing is locked: your team keeps tracking time, submitting timesheets and expenses, and requesting leave, and every number you have ever recorded stays readable on screen. Approving, invoicing and downloads wait until you upgrade. We never ask for a card to start the trial and we never charge you automatically.
What counts as a user?
Anyone with access to the workspace: an active team member, an invite you have sent that has not been accepted yet, and any client contact you have given portal access. So a workspace with 3 staff and 5 client contacts is 8 users. We would rather say that here than surprise you on an invoice.
Can we stay on Free forever?
Yes. Free is a plan, not a trial — there is no end date and no card on file. It fits 3 people. The moment you need a 4th, or you need to approve a timesheet, send an invoice or download a report, that is when Pro starts paying for itself.
What if we downgrade with more than 3 people?
Everyone keeps working. We never deactivate anyone or hide their data — a five-person workspace that drops to Free stays a five-person workspace. You simply cannot add a sixth until you upgrade again, and every invoice, report and timesheet you already created stays exactly where it is.
How does yearly billing work?
Yearly is $12 per user per month, charged once as $144 per user per year — 20% less than paying monthly. Seats are counted at the time of billing, so adding someone mid-year is prorated.
Can we get a refund?
Yes — ask within 14 days of any charge and you get a full refund, no reason needed. That covers a renewal you meant to cancel, the wrong plan, or an upgrade that did not fit. After 14 days you can still cancel any time and keep access to the end of the period you paid for. Full terms are on our refund policy page.
What happens if we cancel?
You keep everything you paid for until the end of the current billing period, and we do not charge you again. After that the workspace moves to Free — nothing is deleted, every entry, invoice and report stays readable, and you can resubscribe later and pick up exactly where you left off.
What if we upgrade before the 14-day trial ends?
Your paid period starts that day and the trial ends, so any unused trial days are not carried over. If that is not what you wanted, the 14-day refund window covers it — tell us and we will refund the charge.
Is tax included in these prices?
No — the prices here are before tax. VAT, GST or sales tax is added at checkout based on where you are, so you will see the exact total before you pay. Paddle is our merchant of record and handles that for every country we sell in, which also means your invoice is tax-compliant wherever you file. If your business is VAT or GST registered, enter your number at checkout and it is handled accordingly.
